Example of a Grant Readiness Checklist
Locate the following documents and keep multiple copies in a binder. Be sure to review and update the binder annually, or as needed.
- 501 (c) (3) determination letter from the IRS
- EIN/tax ID #
- Client stories (snippets)
- General stats (pounds distributed, meals, client tallies, proportion of produce or meat, etc.)
- Mission and/or vision statement
- Organization’s history including: year established, number and qualifications of staff, number and hours of volunteers, programs, awards, accreditations, certifications, licensures, accomplishments
- Certificate or Articles of Incorporation
- Organization bylaws
- List of board of directors/ trustees, titles and affiliations, contact info
- List of officers and contact information
- List of management and contact information (pantry coordinator)
- Minutes of board meetings and resolutions for past year
- Organizational structure flow-chart/table of organization
- Current organization budget
- Most recent financial statement and 990 form and state filings
- Target population demographics and needs (US Census County Data, Map the Meal Gap, etc.)
- Map of target area
- Recent newsletter articles, newspaper clippings, evaluations or reviews
- Sample letters of support/commitment & fax cover for letters of support
- Calendar of events
- Current specific needs and opportunities (prioritize)
